Privacy Policy
1. Executive Summary & Scope
Welcome to Mighty Mailers (“Company,” “we,” “us,” or “our”). We operate the Mighty Mailers web platform, local digital spotlight hubs, and oversized Every Door Direct Mail (EDDM®) co-op marketing programs.
We respect your privacy and are committed to protecting the Personal Information of both our B2B Business Partners (advertisers and prospective clients) and End-Consumer Neighbors (recipients of our direct mail assets who interact with our virtual postcards, scan our QR codes, or unlock local offers).
This Privacy Policy details how we collect, use, share, and protect your information across our website, digital postcard hubs, QR tracking systems, and direct-response campaigns.
2. Information We Collect
We collect information through two primary interactions: B2B Client Services and Consumer Digital Bridge Interactions.
A. Information Collected from B2B Clients & Partners
When local businesses partner with Mighty Mailers to reserve ad slots or manage campaigns, we collect:
Contact Information: Name, business name, physical business address, email address, and phone number.
Account & Billing Details: Credit card numbers, ACH payment details, billing address, and transaction history.
Campaign Assets: Logos, promotional offers, website URLs, phone numbers, and creative graphics submitted for mailer inclusion.
B. Information Collected from End-Consumers (QR Scans & Offer Unlocks)
When neighbors receive our 9×12 physical mailers and scan a QR code to interact with our Virtual Postcard Interface, we collect:
Lead Unlock Information: Name, email address, mobile phone number, and physical zip code submitted voluntarily to “Unlock” or “Activate” a specific local business offer or deal.
General Community Opt-Ins: Email addresses or mobile numbers submitted to receive future local postcard updates or digital coupon digests.
Location & Device Metrics (Automated): IP address, device type, browser platform, city/state approximate location, scan timestamp, and specific redemption activity.
3. How We Use Your Information
We process personal data strictly for strategic business operations, campaign execution, and direct-response lead generation:
Campaign Delivery & Account Management: To process B2B payments, design mailer layouts, manage category exclusivity reservations, and deliver proof of performance metrics.
Offer Fulfillment: To deliver digital access codes, coupons, and promotional vouchers requested by consumers via QR code interactions.
Lead Hand-Off to Exclusive Partners: To transfer opt-in consumer lead data directly to the specific local business whose offer was unlocked, allowing them to fulfill the service or contact the consumer regarding the request.
Monthly Digital Broadcasts: To send automated monthly community digests or virtual postcard notifications to subscribed neighbors (strictly adhering to automated opt-in/opt-out protocols).
System Analytics & Platform Optimization: To measure QR code scan rates, conversion rates, and offer performance to optimize direct-response metrics.
4. Disclosure & Lead-Sharing Practices
Mighty Mailers does not sell or rent generalized personal consumer lists to third-party data brokers. However, information is shared under the following specific conditions:
A. Share with Specific Offer Providers (Client Partners)
When an end-consumer inputs their contact information to “Unlock” or “Activate” an offer featured on a Mighty Mailers asset, that specific contact record is shared directly with the single local business partner responsible for that specific coupon/deal.
Important Note for Consumers: Unlocking a specific deal constitutes an explicit request to connect with that designated local advertiser. That business partner’s use of your information will be subject to their respective privacy practices.
B. Strategic Community Alignment (TCF Initiatives)
Mighty Mailers donates 10% of company profits to The Crutch Foundation (TCF) to support local community preservation. Aggregate, anonymized campaign statistics (e.g., total homes reached or community impact metrics) may be shared to highlight community symbiosis without disclosing individual personal identifiers.
C. Service Providers & Technical Infrastructure
We share data with trusted third-party vendor platforms operating under strict confidentiality contracts, including:
Secure payment processors and merchant gateways.
Automated email and SMS delivery engines.
Cloud hosting and QR code tracking analytics platforms.
Print production facilities and USPS EDDM logistical systems.
5. Automated Opt-In & Opt-Out Protocols
We enforce legal compliance and user control over direct communications:
Email Communications: Every promotional email sent by Mighty Mailers or our digital postcard engine includes an automated, single-click Unsubscribe link at the footer. You may opt out at any time.
SMS/Text Messaging: Where mobile numbers are collected for offer unlocking or SMS delivery, messaging is governed by standard TCPA protocols. Text STOP to any text message received to immediately opt out of SMS communications.
One-Time Monthly Broadcast Rule: Our automated broadcast systems are capped to prevent inbox clutter, limiting generalized digital postcard updates to a strict schedule with automated suppression list management.
6. Cookies, Digital Tracking & QR Code Analytics
Our website and virtual postcard landing pages utilize standard tracking technology:
Cookies & Pixel Tags: We use essential and performance cookies to remember user preferences, analyze traffic flow, and ensure specific ad placements “highlight” properly when redirected via QR code.
QR Analytics: Scanning a Mighty Mailers QR code registers technical telemetry (timestamp, device type, general regional location) to allow our B2B partners to evaluate campaign effectiveness without exposing personal identity until an explicit lead form is completed.
You can set your web browser to decline non-essential cookies or notify you when cookies are being sent.
7. Data Security & Retention
We maintain physical, technical, and administrative safeguards designed to protect personal data against unauthorized access, alteration, or disclosure:
Encryption: Financial transactions and data submissions are processed using standard SSL/TLS encryption protocols.
Data Minimization: We retain client billing data and consumer lead records only for as long as necessary to fulfill campaign requirements, satisfy tax/accounting regulations, or maintain subscriber preferences.
8. Consumer & Client Privacy Rights
Depending on your jurisdiction (including rights under state privacy laws such as the CCPA/CPRA), you possess the following rights regarding your personal information:
Right to Know / Access: The right to request details regarding the categories and specific pieces of personal information we have collected about you.
Right to Erasure / Deletion: The right to request that we permanently delete your personal information from our databases (subject to legal retention exceptions).
Right to Correct: The right to request correction of inaccurate personal records.
Right to Opt-Out: The right to opt out of future direct marketing communications at any time.
To exercise any of these rights, contact our Data Privacy Manager using the information below.
